Tasks and Responsibilities:

The consultant shall be working under the overall supervision of Team Leader.

The following are tasks and responsibilities of the consultant:

Overall supervision and support of the office processes, such as:

  • Handle administrative issues related to the functioning of project office: in cooperation with other Administrative personnel, namely: communication with landlord and suppliers of office materials, communication companies, handling office supplies system, supervision of translation agency, cleaning lady, driver, IT specialist, Internet provider, office land line phone provider, mailing services such as Nova Poshta, UkrPoshta & Teks etc.
  • Support international experts in their travel and accommodation in Ukraine.
  • Support Communications Manager, if required.
  • Inventory of marketing materials, ordering it in necessary quantity.
  • Timely update of Projects Contacts Data base, keep track on Project’s share drive info storage and other apps of common use.

Meetings and Trainings

  • Provision support to Event manager/administrative assistant in terms of organization of activities if necessary (including preparation of training participants’ lists, registration of participants during trainings (upon request), ordering materials for trainings etc).
  • Substitute Event Manager/Administrative Assistant during absence.
  • Prepare facilities for office meetings.

Translations

  • At the request of Project Team Leader provide translation of short documents and materials.
  • Provide translation for the Project Team Leader and National Experts for short meetings and translation of the short documents for the office.

Suppliers

  • Serve as member of the procurement team in procurement procedures of the project.
  • Insure timely purchase of office items.

Starting date: October 16th, 2018.
