FINANCE AND ADMINISTRATION COORDINATOR
(Adviser for partner NGOs on the financial aspect of cooperation)

Together with our Ukrainian partner organisations, we support the population affected by the war. Our programme priorities in Ukraine are emergency relief and rehabilitation with a focus on renovation of buildings, winterisation activities and promoting access to basic social, health and educational services as well as MHPSS. Furthermore, we strengthen Ukrainian civil society and promote gender equality and inclusion.
YOUR TASKS
Work with Ukrainian partner NGOs:
- • Support in selection (e.g. due diligence analysis) of new partner NGOs and in preparation of new project budget
- • Onboarding of new partner NGOs (incl. advise the partner NGOs on Financial Policy of AWO International and on donor requirements)
- • Regular inspection of partner NGOs books and guidance in order to ensure full compliance
- • Screening and prompt feedback on partner NGOs monthly statements, receipts, balances, and (half-)yearly financial reports
- • Regular meetings with partner NGOs on financial and administrative matters (incl. visits to projects sites)
- • Monitoring and analysis of the financial reports and other supporting documents of partner NGOs, and reporting the findings to the AWO International Head Office on ongoing projects
- • Preparing and participating in financial audits of partner NGOs
Execution of financial and administrative tasks related to AWO International Country Office Ukraine:
- • Ensuring full compliance with AWO International Financial Policy and the governing legal framework in Ukraine of all financial and administrative actions of the AWO International Country Office Ukraine
- • Providing counselling and supporting implementation of labour laws, HR policies and procedures to ensure full legal compliance (incl. health and safety)
- • Liaising with Government Agencies, banks, and other financial institutions
- • Accounting and preparation of financial documentation of expenditures of AWO International Country Office Ukraine with following monthly and yearly financial reporting to Head Office
- • Day-to-Day tasks of financial transactions, banking and processing invoices, e.g. travel expenses, submitting taxes, petty cash management
- • Accurate, timely payroll management (incl. all statutory requirements, payslips, timesheets)
YOUR PROFILE
- • University degree in Finance, Accounting, Economics, or similar subjects
- • Minimum 3 years of work experience as Finance Officer in the non-profit sector in Ukraine
- • Experience in working with Ukrainian NGOs
- • Advanced competencies in using accounting software and MS Excel, proficiency in MS Office 365
- • Impeccable finance ethics with a strong donor compliance attitude and distinct ability to manage confidential data
- • Excellent analytical and numerical skills
- • Proven track record in managing public funds and donations, e.g. from international donors
- • Fluency in Ukrainian and English both written and verbal; German is an asset
- • Excellent communication and problem-solving skills
- • Ability to work under pressure and independently
- • Readiness for regular field trips, including to the newly liberated areas
