Job description:
Our organization is growing, and we are looking for an Office Manager who will ensure smooth and effective day-to-day operations in our Warsaw office. This role is for an energetic go-getter who is not afraid to try new things (or old things in new ways).
We are looking for a partner who will collaborate closely with different stakeholders throughout the organization, especially with the People and Culture team, supporting meetings, events and projects and other operations, as needed. The role reports to the Director of FTS Organizational Development and Operations.
This position requires a professional with excellent planning, prioritizing, and organizational skills.

Job responsibilities:
Office administration:
• Creation and optimization of administrative processes and procedures.
• Archiving and registering of Foundation official documents.
• Organizing Foundation Board meetings and preparing relevant documentation.
• Maintaining documentation repositories, including coordinating the process of agreements workflow, and supporting annual reports preparations.
• Ongoing cooperation with the People & Culture Team in internal and external events coordination.
• Coordinating mailing process services (post office/couriers etc.).
Office and equipment maintenance
• Building and supporting zero-waste culture and spreading best practices among the team.
• Managing of administration budget, including managing cost optimization for office management.
• Responsible for managing office equipment and supplies.
• Daily coordination of office maintenance.
• Contact with external vendors and suppliers.
• Supporting coordination of helpdesk vendor and team.
• Coordination of IT equipment orders.
