Operations Assistant, Support to Anti-Corruption Champion Institutions Program in Ukraine

Project Summary:

The Support to Anti-Corruption Champion Institutions (SACCI) Program in Ukraine is a six-year USAID initiative that has an objective to assist Ukraine to reduce corruption and increase the accountability and transparency of governance in Ukraine. The program seeks to empower key government institutions to fight corruption, build public support for and engagement in anti-corruption efforts, and reduce citizen tolerance to corruption. SACCI works with the wide spectrum of anti-corruption stakeholders, including the specialized anti-corruption bodies, governmental institutions at national and local levels, the private sector, and civil society watchdog organizations. SACCI seeks to promote transparency and accountability during the Ukraine reconstruction efforts.

Position Summary:

The Operations Assistant will support the SACCI program office in Kyiv, Ukraine and will be responsible for a timely provision of administrative and logistical support to all program activities and for the implementation of administrative systems, procedures, and policies. The Operations Assistant will work cooperatively with project employees, short-term associates, and partner organizations. They will report to Director of Finance and Administration and ultimately to the Chief of Party (COP) and work closely with the entire SACCI team to plan, coordinate and track program support services and activities. This is a full-time position for the period of 12 months.

 

Responsibilities:

     •   Ensure operations run smoothly within the department, extend administrative support to the technical team, and streamline record management and data archiving.

     •   Complete operational requirements by scheduling and assigning administrative tasks within the team and expediting required outputs.

     •   Review timesheets to ensure they are completed correctly by Project staff.

     •   Coordinate staff and short-term associate’s field travel when applicable.

     •   Oversee the delivery of administrative support services such as janitorial service, and assistance for meetings/events/workshops.

     •   Ensure the preparation and provision of workspaces for new hires, Home Office visitors, and short-term associates.

     •   Serve as the petty cash treasurer.

     •   Assist with procurements, including identification of vendors, collection of price quotes, and drafting the agreements.

     •   Coordinate postage services and document exchange between home office and project office.

     •   Prepare letters, correspondence, requisitions, and other forms of documents of consequence to be signed by management.

    •   Liaise with Project Staff and Consultants to draft short-term service agreements and execute Acts of Acceptance in a timely manner.

    •   Provide general assistance to Finance Manager with the preparation and review of expense reports.

    •   Perform various position-related tasks, as assigned by the supervisor.

 

Qualifications:

     •   Bachelor’s degree preferably in public administration, business administration, or other relevant areas is required.

     •   Minimum one year relevant experience (preferably at the multinational company) is required.

     •   Prior experience with USAID-funded projects is strongly preferred.

     •   Experience with collection and analysis of accounting data is preferred.

     •   Strong organizational skills to meet deadlines are required.

     •   Strong communications skills, both oral and written are required.

     •   Fluency in English and Ukrainian is required.
