Вакансія: Logistics and Fleet Manager – HEKS/EREP Ukraine

HEKS/EREP is looking for the Logistics and Fleet Manager is a key member of the operations team. The Logistics and Fleet Manager will support efficient management of the operational aspects of the project, as well as overall compliance with contractual requirements, donor policies, and local law. S/he participates in the organization of security, vehicle fleet, project office, and project assets. The Logistics and Fleet Manager actively participates in the organization of the project’s events and activities and oversees the logistics of HEKS/EREP staff.

Main responsibilities:

  • Provide excellent service experience to all visits received in the office.
  • Deliver messages promptly to different areas.
  • Support daily administrative operations of the project, including facilities, logistics, security, record and file management.
  • Support receipt and timely distribution of mail, DHL and other communications to responsible project staff.
  • Ensure that administrative records are well-organized, maintained and updated.
  • Schedule and prepare materials for meetings and coordinate for conferences, workshops, and training sessions as required.
  • Coordinate travel/logistics arrangements and maintain project travel schedule.
  • Maintain relationships with the landlord, office building management, and vendors or suppliers who provide administrative and/or operational project support.
  • Participates in securing, maintaining and updating project assets/inventory of all project property and coordinating related reconciliations of such assets with the finance unit.
  • Supervise project logistics, vehicle fleet management and maintenance, and project assets.
  • Plan and organize all activities related to project’s vehicle supplies, servicing, operation, maintenance and repair; establish and maintain priorities and time lines; assure vehicle-related functions and activities comply with established laws, codes, rules, regulations, HEKS/EREP policies and procedures 
  • Manage the Vehicle Log to ensure there is no breach of project’s policies and provide weekly report for each vehicle to Logistics Coordinator
  • Coordinate travel/logistics arrangements and maintain project travel schedule. 
  • Other duties as assigned.


  • At least 2 years’ experience in a similar position
  • Advance IT knowledge (hardware and software, Microsoft Office, Internet)
  • Previous experience with an NGO is mandatory
  • Previous experience in emergency response is appreciated
  • Skills: organized, sense of human relations, diplomacy, communication skills


  • Fluent in Ukrainian and English (written and spoken)
