Background:
People in Need (PIN) has been active in Ukraine since early August 2014 and the humanitarian programs have been rapidly expanding since then. Currently, PIN is one of the major humanitarian actors in Eastern Ukraine while providing neutral and independent humanitarian aid to conflict-affected people. So far PIN has implemented number of multi-purpose cash grants, Shelter, Protection, Livelihoods and WASH interventions and supported more than 2 millions vulnerable populations, including IDPs, returnees and host communities in both urban and rural locations.
Position summary
Finance Coordinator supports the Finance and Accounting Department in working with the financial reporting documentation of PIN partners, with maintenance of the Navision project module in working order, planning and other financial daily issues.
Main responsibilities:
Interaction with Partners within current projects.
Analysis of reporting documentation provided by Partners.
Maintenance of the Navision project module in working order.
Comprehensive assistance of Finance and accounting department in daily work
Responsible for work with partners, first of all for checking, verification and approval of partners’ (both national and international) financial reports, namely:
control of partner financial report and for control of supporting documentation, submitted with the report in line with the Partnership Agreement’s conditions;
communication with the partner’s finance focal point regarding findings in the financial report and supporting documentation;
receiving corrected or previously missing documentation;
uploading of the Financial report and supporting documentation into ELO to the Partner report folder when the report approved and all supporting documentation received from the partner;
correctness of Excel for import to Navision prepared by Finance Officer.
Takes part in Partner appraisal process (LOAF assessment - micro-assessment of Partner’s financial capacity);
Sends partner’s financial report to HQ for posting of reported costs to Navision;
Approves suppliers’ invoices in ELO, which are above 1000 EUR, as Mission FO;
Responsible for timely updating of data in the “Projects” module in Navision regarding the creation of new resource cards and project implementation cards, for creation of links between the budget lines of these cards, for adding and regular revision of plans and spending forecasts, etc;
Recodes items in Navision between budget lines according to instructions of Finance and Accounting Manager and/or her Deputy and/or on the basis of allocations tables data;
Responsible for national staff salary allocation (planning the percentage of allocation both for the project and operational staff within ongoing projects using Navision and Excel support tables);
Assists supervisor in cost analysis (allocation, planned vs. posted costs, uncovered);
In accordance with the reporting schedule, prepares financial reports to donors in time and submits them to the supervisor for approval;
Coordinates the process of documents’ preparation for audit, donor’s financial verifications, upon other requests;
Ensures receiving accurate information from Heads of Projects on actual spending and forecast upon supervisor’s request;
Performs any other tasks assigned by Finance and Accounting Manager and/or her Deputy based on actual needs in Finance and Accounting Department and derived knowledge and specialization;
Required background and competences:
University degree in finance, accounting, economics or similar degree;
Certification in the humanitarian sphere is a benefit;
At least 2 years of related professional experience in coordination/managerial positions in finance;
Work experience in INGO/NGO is preferable;
Advanced Excel, Word skills are required;
Upper-intermediate level of English;
Highly organized, responsible, attentive to details;
Ability to prioritize and handle multiple tasks under tight deadlines;
Good communication skills and soft skills;
Collaborative, team-oriented;
Ability to maintain confidentiality;
Mature, well-balanced personality able to work independently in challenging environment.
PIN OFFERS:
Salary as per PIN salary scale: 1134 USD GROSS (1191 USD GROSS after probation period)
