For our programme Support to the Decentralisation Reform in Ukraine, U-LEAD | Ukraine - Local Empowerment, Accountability and Development Programme we are looking for a Receptionist (full time 100%) to work in Kyiv.
Ukraine has put decentralisation and regional development as a top priority on its political agenda. It is aimed at promoting a viable local self-government and thus bringing a positive change to the people’s life. The Ministry of Regional Development, Construction, Housing and Communal Services (MinRegion) holds responsible for this milestone reform process. Its success greatly depends on the support of all stakeholders involved which is not least created through transparent communication and dialogue that help raise the awareness about the positive effects of the reform.
U-LEAD with Europe: Ukraine - Local Empowerment, Accountability and Development Programme is a multi-donor action of the European Union and its member states Denmark, Estonia, Germany, Poland and Sweden which supports the Decentralisation Reform in Ukraine. GIZ is implementing the U-LEAD with Europe programme in all 24 oblasts of Ukraine and established its main office in Kyiv (the “House of Decentralisation”) in an open space plan which includes different projects that support the Decentralisation Reform in Ukraine.
The receptionist performs the following tasks:
Phone and reception services
answers and accepts phone calls and messages in a professional manner
maintains a callback list of all incoming calls which cannot be taken by the relevant staff member
operates the entrances as well as the answering machine appropriately
ensures that visitors are comfortable (e.g. by offering newspapers, refreshments etc.)U-L
Office work and services
ensures creation and/or regular updating of a list of contacts and addresses (telephone, fax, email)
registers, sorts and distributes incoming and outgoing correspondence (letters, fax, parcels, etc)
manages the availability of periodicals at the reception area
Other duties/additional tasks
performs other duties and tasks at the request of management
Required qualifications, competences and experience
Qualifications
higher education
excellent command of English, Ukrainian, Russian Language
knowledge of German language is an additional asset
Professional experience
at least 1-3 years of professional experience in a comparable position
Other knowledge, additional competences
good working knowledge of computer applications and ITC technologies (MS Office, phone, fax, email, internet, technical equipment for meetings and conferences, etc.) polite and professional appearance and approach in dealing with visitors and staff in the “House of Decentralisation”
willingness to upskill as required by the tasks to be performed - corresponding measures are agreed with management
excellent skills in cross - cultural communications
Assignment:
Starting as soon as possible. The contract duration is until the end of June, 2020.
