Operations Coordinator for AHF Ukraine

AIDS Healthcare Foundation (AHF) Ukraine is looking for Operations Coordinator, who provides support to the team in office operations, performing standard operational processes, ensuring high quality and accuracy of work.

The Operations Coordinator promotes a client- and results-oriented approach of AHF Ukraine office. The Operations Coordinator will collaborate with partners of AHF Ukraine, AHF Europe and AHF Headquarters in LA.

The Operations Coordinator provides assistance to the AHF CPD as requested.

 ESSENTIAL DUTIES & RESPONSIBILITIES:

  • Oversee administrative procedures of the branch office;
  • Oversee document\information flow and program reporting from sites;
  • Coordinate correspondence flow from partners;
  • Prepare necessary reports based on the data available from sites;
  • Follow up and record in the applicable data bases;
  • Archive paper and/or electronic copies of internal policies and procedures related documentation;
  • Support meetings by following the agreed submission deadlines, format and approval processes related to administrative documentation and reports;
  • Prepare Job Descriptions, Justifications, Exit forms and New Hire forms for the personnel;
  • Maintain log of New Entry Forms, support their submission on timely basis;
  • Maintain contact and correspondence with existing partners;
  • Prepare staff meetings, take and distribute minutes along with any other relevant materials;
  • Attend other meetings/events in a secretary capacity as and when required;
  • General administration/clerical support including photocopying and filing;
  • Provide receptionist function in the AHF Ukraine office, ensuring an accurate, efficient and polite service to all;
  • Other duties may be assigned as needed.

Education / Experience

 

Bachelor’s or Master’s (prefered) degree (B.A.) from College or University, preferably related to Public Health; at least 5 years related experience and/or training or equivalent combination of education and experience. Experience in NGO or Public health is preferable.

  • Basic accounting  / HR knowledge is a plus.
  • Fluent Ukrainian and English

Other Skills and Abilities

  • Needs to be sensitive to patient population and issues surrounding HIV/AIDS;
  • Good command of up-to date knowledge and practices in HIV/AIDS treatment and care;
  • Good communication and interpersonal skills;
  • Ability to prepare reports;
  • Be a Team player;
  • Have good organizational and planning skills and ability to prioritize tasks and work quickly and accurately to meet deadlines;
  • Ability to communicate effectively in English in a variety of settings such as staff meetings, discussions with partners and training workshops;
  • Flexible, proactive and able to organize work independently as well as work in a team.

 Communication Skills

  • Ability to read and interpret documents such as policy documents, safety rules, operating and maintenance instructions, and procedure manuals;
  • Ability to write reports and correspondences;
  • Ability to speak effectively before groups of employees or other people.

 

Computer/ software skills and abilities: 

  • Use of MS Office (Word, Excel, PowerPoint); MS Outlook
  • Working knowledge in MS Project preferred

 Language skills:

Ability to analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
