The UN Volunteers Programme in Ukraine is seeking for motivated and qualified candidates to provide effective and efficient support to the UNDP Deputy Country Director (Programme).
UNDP provides support to Ukraine under the umbrella of the United Nations Partnership Framework for the period 2012-2017 to find innovative solutions to its development challenges. Its overall goal is to assist Ukraine in achieving its national competitiveness agenda with a focus on human development for all.
The UN Volunteer will provide effective and efficient support to the UNDP Deputy Country Director (Programme)/DRR through management of information and documentation flow, organization of/preparation for meetings and follow-up on actions required and deadlines/commitments made, +maintenance of protocol procedures, supporting communications between respective teams. The national UN Volunteer will work in close collaboration with the operations, programme and project teams in the Country Office (CO), and UNDP HQs staff.

Description of tasks:
Within the delegated authority and under the supervision of Deputy Country Director-Programme (DCD-P)/DRR or his/her designated mandated representative(s), the UNV UNDP Coordination Assistant will:
- Help manage schedules the DCD-P/DRR;
- Provide support to administration of meetings, appointments and briefings;
- Assist with organization of regular and ad-hoc meetings; preparation of meeting minutes/summaries of actions to be taken;
- Help prepare relevant documentation/background notes for meetings;
- Track progress on agreed issues; follow-up with focal points on deadlines, commitments made, actions taken and coordination of collection and submission of the respective documents;
- Screening of all incoming communications and clearance;
- Translate from UKR to ENG and vice versa incoming and outgoing correspondence and provide interpretation, if required;
- Assist in communication with Government and other external partners;
- Maintain the filing/archiving system ensuring safekeeping of confidential materials;
- Coordinate the information flow and dissemination of corporate and interoffice communication to staff as required;
- Facilitate information sharing within UNDP CO and with relevant offices/units outside the CO;
- Draft routine correspondence and interoffice memos, general briefing notes, documents, reports, translations when required;
- Coordinate and manage transportation and meetings schedule.
Results/expected outputs:
- As an active UNDP team member, efficient, timely, responsive, client-friendly and high-quality support rendered to UNDP and its beneficiaries in the accomplishment of her/his functions, including:
- Effective communications and administrative support provided to UNDP CD and DCD-P.
- A final statement of achievements towards volunteerism for development during the assignment, such as reporting on the number of volunteers mobilized, activities participated in and capacities developed.
Age, Gender and Diversity (AGD) perspective is systematically applied, integrated and documented in all activities throughout the assignment.

Experience Remark
- At least 1 year of professional work experience in secretarial, administrative, programme or project work at the national and/or international level in international organization, diplomatic mission or international project;
- Experience with UN is an asset, as is experience working in the UN or other international development organization.

- Excellent oral and written skills; excellent drafting, formulation, reporting skills;
- Accuracy and professionalism in document production and editing;
- Familiarity with tools and approaches of communications for development;
- Solid overall computer literacy, including proficiency in various MS Office applications (Excel, Word, etc.) and email/internet; familiarity with database management; and office technology equipment.
