Internship Program Guidelines IREX Bibliomist Program About Bibliomist Bibliomist is a partnership between IREX, USAID, and the Ministry of Culture of Ukraine, supported by a $25 million grant from the Bill & Melinda Gates Foundation. Microsoft Corp., a partner of the Foundation’s Global Libraries initiative, will donate an estimated $4.4 million in software to Ukraine’s public libraries. Bibliomist will work with the Ukrainian Library Association (ULA), national and local governments, and libraries throughout Ukraine to help them better serve their communities through training and technology by:

  • Equipping libraries with technology so citizens have better access to information.
  • Training librarians in how to use new technology to provide better services to library visitors.
  • Helping develop the capacity of the national library association to advocate on behalf of libraries and librarians.
  • Fostering government support for the recognition of the essential role of libraries in a society.

About IREX IREX is an international non-profit organization providing leadership and innovative programs to improve the quality of education, strengthen independent media, and foster pluralistic civil society development. Founded in 1968, IREX works in more than 50 countries with a staff of over 500 professionals worldwide. IREX has been selected by the Bill and Melinda Gates Foundation to implement Bibliomist in Ukraine.

Objectives of internship program Interns will participate on a voluntary basis in a large variety of assigned or chosen program activities related to their area of interest. Internship assignments will be relevant to the goals and objectives of the hosting teams. Interns will learn and practice a set of skills, the program staff will benefit from a “fresh eye” view of the program activities and approaches, and our stakeholders will learn from the results of the interns’ work. Everybody wins. The objectives of this internship program are: - to introduce interns to the role of an international NGO in the development of social and cultural areas; help interns understand how an NGO produces public value, how it plans its work, how it measures and evaluates its performance and performance of its partners; how an NGO collaborates with stakeholders; and how an NGO manages and exchanges information for various purposes; - to allow interns to gain practical experience of working in a friendly multi-national environment; - to give interns an opportunity to integrate theory and practice while dealing with real problems in the workplace; - to help interns establish professional contacts and networks. Location Depending on the assignment, interns will work either at IREX representative office in Kyiv, Ukraine or may be sent on business trips to different regions of Ukraine, or complete the assigned tasks elsewhere (library, home, etc).
Length of internship program and assignments The internship program starts on January 1, 2010 and ends on December 31, 2010. The length and scheduling of the internship assignments may vary from team to team and must be agreed to in advance by the intern and the hosting teams’ management. Financial arrangement Internships are unpaid. However, interns travelling to regions will receive reimbursement for the accommodation, transportation, and meals.
 

Internship certificates Successful interns will receive certificates of appreciation from IREX Bibliomist program. Hosting team will also be happy to provide written or verbal references to potential employers to attest to skills, qualifications and capabilities of interns they worked with. Application deadline There is no application deadline. Applications will be reviewed in accordance with program needs.

Internship Descriptions Impact team

1. Development of database of existing library and Internet statistics in Ukraine Desired skills and qualifications: knowledge of Excel (intermediate level), ability to work with large databases, accuracy. Description of responsibilities: creating a database in Excel that contains all relevant and historical statistical information on Ukrainian library sector (which can be found online); gathering of data on Internet coverage dynamics. 2. Research on library statistics in the U.S. Desired skills and qualifications: fluency in English, analytical thinking, experience of Internet-search. Description of responsibilities: gathering of information concerning statistics collected by the U.S. libraries, analysis of the gathered information and report preparation (preferably in form of presentation). 3. Compilation of database containing raw data of ULA research (2007) Desired skills and qualifications: diligence, ability to work with large datasets, knowledge of Excel (intermediate level). 4. Analysis of trends in existing statistical data Desired skills and qualifications: proficiency in Excel, knowledge of basic statistics. Description of responsibilities: graphical and statistical analysis of trends in officially reported librarian statistics, creation and testing of explanatory models predicting library visits, preparation of a report that summarizes findings. 5. Study of correspondence of official statistics and ULA results Desired skills and qualifications: proficiency in Excel, ability to work with large databases, attention to details. Description of responsibilities: comparison of the results of two independent researches and determination of reasons contributing to observed differences, preparation of the report summarizing the findings.

6. Involvement in qualitative research of librarians. Conducting of interviews, primary analysis of data Desired skills and qualifications: strong interpersonal communication skills, knowledge of qualitative research procedures and analysis techniques. Description of responsibilities: conducting face-to-face semi-structured in-depth interviews with Ukrainian librarians, transcripts preparation and analysis of the findings (in Excel spreadsheet and optionally in PowerPoint). Capacity Team

1. 2. Creation and maintenance of an internal CDT contacts database Desired skills and qualifications: Above average computer skills. Sound knowledge of Excel and Access. Description of responsibilities: Create and maintain an internal database of the team’s contacts. 3. Assistance with data collection for co-funding stories Desired skills and qualifications: Native Ukrainian/Russian. Excellent communication, writing and analytical skills. Description of responsibilities: Conduct phone and in-person interviews of senior library staff to obtain information about funding issues; using this information, draft short stories about funding situation in libraries. 4. Assistance with Community Participation Contest (CPC) application registration Desired skills and qualifications: Good knowledge of Ukrainian and English. 5. Assistance with logistics for program-related events (on as needed basis) Desired skills and qualifications: Native Ukrainian/Russian. Good communication skills. Description of responsibilities: Prepare invitations to training events; make copies of materials for participants; make phone calls to follow up on invitations; participate in events planning. 6. Assistance with research and data collection for educational materials for Ukrainian librarians Desired skills and qualifications: Fluent English and Ukrainian/Russian. Partnerships Team 1. Provide support to the daily operations of the Partnerships Team. The Partnerships Team is responsible for coordinating with the project’s subgrantees and subcontractors and drafting and negotiating the text of all grants and contracts. Communications Team Bibliomist’s Communications team is looking for an outgoing, resourceful, and tech-savvy person to serve as a Communications Intern. Description of responsibilities:

  • Translate communications materials from English to Ukrainian and vice versa;
  • Assist with production of newsletter;
  • Update Bibliomist’s website with new materials;
  • Assist in organizing media/public events;
  • Help research reporters with relevant beats and maintain press lists;
  • Organize and maintain photo library;
  • Maintain contacts database;
  • Desired skills and qualifications: • Background and/or interest in communications; • Strong written and oral skills in Ukrainian and English; • Strong people skills; • Experience with website maintenance and social networking a plus.

IT Team Bibliomist’s IT team is searching for a tech-savvy IT intern. This position offers opportunity to learn new technology as well as practical training in IT system administration. Description of responsibilities:

  • Provide technical support to staff based in the Kyiv management office;
  • Assist administrative team in tracking inventory of computers and related equipment;
  • Carry out basic maintenance of office machines, including software updates, hardware repairs, and parts replacement;
  • Assist the system administrator in developing a tech support manual for use by library staff;
  • Provide technical consultations to staff of key project partners such as the Ukrainian Library Association and the National Parliamentary Library;
  • Assist system administrator in maintaining office network and ensuring protection against viruses and other abuse;
  • Monitor connection speed and work with ISP to address issues that arise;
  • Assist the system administrator in evaluating the performance of the outside tech support firm engaged to assist libraries;
  • Participate in regular online forums with technical staff of oblast libraries to exchange information and best practices on technical issues and solutions.
