Ukraine NGO Forum is a membership organization that came into existence as a joint coordination, information sharing, advocacy and capacity building platform that encompass international as well as national NGO’s.
General guidance
Under the general supervision of the Director of Ukraine NGO Forum and senior program staff Office Assistant supports office workflow, logistic support of the events, support with procurement, and coordination of the services to members.
RESPONSIBILITIES and MAIN TASKS
◾ Participate in the organization of trainings and events, including correspondence with participants, logistic company, printing of materials, etc.
◾ Support office events and meetings
◾ Be responsible for verifying and archiving all finance, HR and administrative documents related to office base according to Ukraine NGO Forum procedures
◾ Record minutes of meetings when asked by superiors
◾ Schedule meetings of members in the office
◾ Ensure proper filing of documents needed for procurement of goods or services
◾ Monitor due dates for payments of contracts
◾ Make purchases/procurements for the office
◾ Support with common services for members, organize the process, find needed provider
◾ Translate some urgent documents if needed
◾ Arrange travel for the staff and participants of trainings
◾ Other duties assigned by supervisors
QUALIFICATIONS
Mandatory requirements
✔ Language Skills: advanced level of Ukrainian, Russian and English (speaking/reading/writing).
✔ Education Degree: University degree in Administration or related field
✔ Work experience: minimum 1 year experience in a similar position (preferred)
✔ Computer skills: excellent in Excel, Good knowledge of other MS office software including Word and Exel.
✔ Other: Good time management and logistic skills, tema worker and service oriented

CONDITIONS
Starting date: as soon as possible
Duration: 3 months with extension, two month’s probation period
Location: Kyiv with possible travels to Eastern Ukraine (up to 20%)
Working days: Monday to Friday
