Operations Assistant у представництво Міжнародної організації з міграції (Київ)

Under the overall supervision of the IOM Ukraine Chief of Mission and the direct supervision of the Operations Coordinator, the successful candidate will work to ensure the effective overall implementation of programme activities, supports to the US Refugee Admission Programme (USRAP) and other resettlement programmes.

Core Functions / Responsibilities:

  • Maintain USRAP departure statistics, prepare and analyse such statistical data to assist senior management with preparation of departure projections.
  • Monitor bookings and maintain inventory of seats obtained, and alert the Operation Coordinator of any potential underutilization or overbooking. Make proposals to the Operations Coordinator for improving the efficiency and delivery of process.
  • Provide projections of future seat requirements based on analysis of data.
  • Maintain liaison with the airlines for fare agreements, block bookings and passenger name lists. Liaise with the Resettlement and Movement Management Division as needed to make sure all movement options are available to meet resettlement needs.
  • Assign proflight numbers, create SAR’s, create movements and reservations and complete movements in MiMOSA, send advanced booking notifications, domestic bookings, nominal roll and departure notification strings for all US departures.
  • Ensure that all medical staff understand and comply with departure procedures and provide them with information on passengers as needed.
  • Verify airlines’ invoices with regard to correctness of air tariffs, routings, passenger breakdowns, schedules and currency conversions, prepare payment requests for the tickets purchased, ensure all payments are properly reflected in I-Gator.
  • Maintain necessary documents and correspondence for all flights and ensure that information pertaining to flights is retained and tracked in a comprehensive filing system.
  • Keep other IOM offices at the embarkation ports, ports of entry and transit locations informed of all scheduled flights (including departures, cancelations, re-bookings etc.).
  • Maintain working relationship with IOM New York (providing flight information, sending promissory notes, responding to inquiries as requested and in coordination with the Operations Coordinator).
  • Assist with travel arrangements for staff members going on official travel and for migrants.
  • In co-ordination with the Operations Coordinator prepare and distribute reports for the Moscow Resettlement Support Center upon request.
  • Drive IOM office vehicle(s).
  • Perform such other duties as may be assigned.
