Вакансія Receptionist у Міжнародній організації Mercy Corps (Сєвєродонецьк)

Mercy Corps is conducting operations in Ukraine and focusing on key emergency response sectors including food, shelter, cash assistance and livelihood support, protection services and water and sanitation with funding initially from USAID and United Nations agencies.  In April 2014, conflict broke out in Eastern Ukraine resulting in 5.2 million persons living in conflict-affected areas. Just as devastating, the UNDP estimates that 80% of the regular Donbas economy is not operational. In this conflict environment, Mercy Corps must project itself as an impartial, humanitarian organization that develops a reputation of high-accountability, quality work and with a clear understanding of humanitarian principles.

 GENERAL POSITION SUMMARY:

The ideal Receptionist is a person capable of successfully supporting a start-up portfolio of administrative activities in Ukraine. A program office will be located in Severodonetsk. The Receptionist will directly report to Sr. HR/Administrative Officer and works of the highest quality and standards and in line with Mercy Corps’ global and regional strategies.

ESSENTIAL JOB FUNCTIONS:

  1. Answer all incoming telephone calls.
  2. Greet and receive all visitors, suppliers, etc.  Issue visitor passes.
  3. Maintain staff attendance log.
  4. Maintain and regularly distribute current contact list of all staff and contact details.
  5. Make photocopies as needed.
  6. Make travel arrangements as needed.
  7. Prepare correspondence as needed.
  8. Responsible for preparing ID cards and business cards for staff.
  9. Translate documents, invoices and acts as required.
  10. Receive and log in mail and distribute.
  11. Maintain adequate inventories of office supplies, log distribution of supplies.
  12. Assist Sr. HR/Administrative Officer as required.
  13. To store the drinking water for office. Dispatch drinking water upon request.
  14. Coordinate Mercy Corps office maintenance and repairs as needed.
  15. Assist staff with routine, administrative duties.
  16. File Mercy Corps documents as required.

KNOWLEDGE AND EXPERIENCE:

Minimum 2 years experience with office administration; computer skills are required, must be an independent thinker and have strong organizational skills; demonstrated experience scheduling and managing staff from multiple departments; Fluency in English, Ukrainian and Russian (written and spoken).

S/he will have demonstrated attention to detail, ability to follow, meet deadlines, and work independently and cooperatively with team members, and have strong people skills.
